SimplicityHub integrates artificial intelligence across its digital products (Assistants, Academy, and Add-on Tools) to support improvement work and learning. We are committed to the responsible, transparent and ethical use of AI. The following principles apply:

  • Human-in-the-Loop: AI generates suggestions and drafts only. It never takes autonomous action. You always retain full control and final authority over every output.
  • Transparency: All AI-generated content is clearly labelled. You always know when you are interacting with AI rather than human-authored content.
  • Data Protection: User data is sent to the AI provider only when you explicitly use an AI feature. We do not use your data to train, fine-tune or improve AI models. Data is not retained by the AI provider beyond the request. All processing complies with UK GDPR and the Data Protection Act 2018.
  • Fairness: AI features support operational improvement and learning. They do not make decisions about individuals, do not process sensitive personal characteristics and are not used for profiling, scoring or automated decision-making that affects individuals’ rights.
  • Accuracy Disclaimer: AI outputs may contain errors or suggestions that are not appropriate for your specific context. You are responsible for reviewing and validating all AI-generated content before use.
  • Accountability: AI usage is monitored and subject to administrative oversight. Contact us at [email protected] with any questions about how AI is used within our products.
  • Regulatory Alignment: Our AI implementation aligns with UK GDPR, ICO AI Guidance, the EU AI Act risk-based approach and OECD AI Principles.
